The Efficiency Review

One free review, two lenses: what your team's time costs, and what your software costs. We put an honest figure on both, and show whether AI and modern tools now make a proper fix worth doing.

Book a Free Efficiency Review

No fee, no obligation, no sales pressure. You keep the analysis either way.

What you get

  • Your team's time: the yearly cost of the 1–3 processes taking up the most time
  • And/or your software: a three-year view of software you rent, set against a system you'd own
  • A clear view of what an improved version would look like
  • An indicative investment range for a focused pilot, framed against what the problem costs you today
  • A straightforward next-step recommendation in a short written summary you keep
A worked example: time
≈ £21,600 per year

One process. Six hours a week of owner time, valued at £75/hour.

6 hrs/week × £75/hr × 48 weeks = £21,600 per year

The annual figure is what makes the decision easy. There's no rate card: a fix is a firm fixed price, set against what the problem costs you today, and designed to pay for itself within two years. If it can't, we'll tell you before you spend anything.

A worked example: software

≈ £10,080 over three years — eight seats on a typical cloud CRM at £35 per user per month, before the next tier up or any extra modules.

How the review works

Lightweight by design. The structure flexes with the size and complexity of your business.

  1. Short discovery conversation

30–45 minutes to understand your business, the processes that feel painful or time-consuming, and the software you pay for.

  2. Mapping & quantification

We estimate the time currently spent, how often, and whose time it is, and add up what you pay for software that doesn't fit — then convert both into honest figures you can sanity-check yourself.

  3. Opportunity framing

The cost of today's process or software, side by side with a realistic improved state. No inflated projections.

  4. Solution outline

A practical recommendation with an indicative investment range for a focused pilot — a range, not a guess dressed up as a quote.

  5. Written summary

A short, clear document you keep. Decide in your own time, with the numbers in front of you.

Why this is worth doing now

AI has cut the cost of building software, so admin and software costs that were never worth fixing are now worth a proper look — here's why the maths has changed.

We only start projects where the figures are already clear. If the annual cost of the problem doesn't justify the investment, we'll tell you up front.

What happens after the review

You go ahead

A short scoping conversation to finalise exact requirements, then a firm fixed-price proposal for a focused pilot. No open-ended day rates.

You decide it's fine as it is

Also a good outcome. You now know what the process actually costs, and you can revisit the decision whenever that changes.

You want to go broader

Some reviews open a bigger conversation — a wider piece of work, with ongoing support available either on a care plan or request by request. That's led by the numbers too.

Common questions

Is it really free?

Yes. The review is free by design — it removes the first barrier to finding out what your processes and software really cost. Any work that follows is a firm fixed price, set against what the problem costs you today, and designed to pay for itself within two years. If it can't, we'll tell you before you spend anything.

Why an indicative range rather than a firm quote?

Full requirements gathering takes longer than the review itself. Quoting firmly on incomplete information risks under-pricing or padding — neither is honest. You get a realistic range at the end of the free review; the firm fixed price comes after a short scoping conversation, before any commitment.

What if the numbers don't justify a fix?

Then we tell you exactly that, and you keep the analysis. Clarity is a successful outcome — you'll know what the process costs and when it becomes worth revisiting.

What size of business is this for?

Our deepest experience is with owner-led teams of up to around 20 people, and the review works well for businesses up to about 50.

Will you push AI on us?

No. AI is a tool we use where it clearly cuts effort or cost. If a simpler integration or a small process change does the job, that's what we'll recommend.

Where does our data go when AI is used?

We use a mix of frontier AI models, only under business or API terms where your data isn't used to train them, and open-source models we run ourselves, so sensitive data can stay on our own UK-hosted infrastructure. A data processing agreement is available on request.
